Service Advisor

Our client is seeking a Service Advisor. This is a very responsible role and you will need to have had experience doing a similar job within the motor trade. You will oversee the running of the Service Reception, being first point of contact for customers and therefore being responsible for first impressions and upkeep of the reputation and image of the dealership. You will respond to customer queries and inform the relevant people and departments of what work needs to be done; take service bookings, arrange courtesy cars and insurance to accommodate the customer in order to ensure the highest level of customer service; advise the customer on work being done and clearly outline costs to avoid any misunderstandings; enter all customer and service details onto the company database; and administer invoices and take payments. A high level of organisational skills is essential, as prioritising workload and delegating tasks where possible is necessary to effectively deal with the demands of the job in order to meet deadlines and targets. Attention to detail is also imperative as large sums of money exchange hands on a day-to-day basis and these transactions need to be administered accurately. Our car dealership client is seeking an experienced Service Advisor to ensure the smooth and efficient running of the Service and MOT Reception, the highest standard of customer service, that all deadlines and specified task completion times are met; and to ensure compliance with Service by Design Criteria Your core duties will be customer satisfaction, organisation, service process co-ordination and progress chasing; and customer liaison and follow up. You will identify requirements and arrange customer appointments; ensure speedy maintenance and repair, as required of customers’ vehicles by means of exact diagnosis and repair order preparation; handle customers requests for vehicle service and repair; up-sell additional work necessary to customers; obtain specific work authorities from customers and log details as per company policy; and ensure final invoice and service schedule is explained to customer, in clear and concise manner, emphasising attention notes. You will also plan the optimum utilisation of workshop capacity in cooperation with the Workshop Manager and Service Manager; ensure that the full scope of repair is both recorded and carried out for all vehicles coming into the dealership; order and record the demand of parts required by the Service Department; and deal with customer liaison and follow-up. Our client is currently looking to recruit a Staff Allocation Officer. The purpose of this role is to provide a professional and responsive service to clients and healthcare workers by co-ordinating and matching work to skilled and trained staff; in addition to supporting the business centre manager in running an effective and efficient operation. Key Tasks: Act as first point of contact for clients, by receiving bookings by telephone, accurately recording dates and hours; Maintain and utilise internal database system to log booking and generate staff availability; Make contact with available staff and confirm bookings as required; Professionally welcome staff and visitors to the office; Arrange client visits and manage Business Centre diary; Make periodic telephone sales calls to clients; Receive and process staff timesheets on a weekly basis; Assist with training course booking and process training credits as required; Manage the purchase and allocation of staff uniform; Accurately record messages in the message book; Carry out general administration duties as requested; Ensure the security of the building at night; Attend staff meetings and training courses.
